Shortlist, a product of Reckn LLC

Privacy Policy

Last updated October 11, 2026. This notice describes Shortlist’s current hiring workflows and planned, disabled-by-default messaging features.

Who this notice covers

Shortlist is a hiring assistant operated by Reckn LLC (“Reckn,” “we,” or “us”). This notice applies to restaurant managers and job applicants who use Shortlist. The restaurant is responsible for its job postings and hiring decisions and may have its own privacy notice.

Information we handle

Applicants may provide their name, phone number, email, location, résumé, experience summary, language information, screening answers, application status, and optional consent choices. A candidate profile supports the application workflow; it does not make a candidate available to other employers.

Restaurant users may provide account and authentication information, manager name and phone, organization and location details, job details, applicant notes, and interview or message records when those features are used.

We also process service and security data needed to operate the product, such as request metadata, rate-limit records, consent timestamps and versions, delivery states, and audit events.

How information is used

We use information to authenticate restaurant users; create and publish jobs; receive and organize applications; show employer-defined screening answers; support human review; honor consent, opt-outs and access controls; prevent abuse; and maintain, secure, and troubleshoot Shortlist.

Future Shortlist job recommendations require a separate, optional, versioned consent. It is not consent to share an applicant profile with an employer. A restaurant sees information submitted to its own job and application.

Shortlist’s screening is limited to explainable matching against criteria configured by the employer. It does not make hiring decisions. If optional AI phone screening is enabled later, its summary is for human review and not an automated decision.

SMS and phone verification

Shortlist’s real SMS sending is currently disabled. If enabled, applicant texts may provide application-related updates, and restaurant managers may receive hiring notifications or reply to Shortlist from their own phone. Messages are not promotional marketing. A separate one-time verification text may be sent when a manager requests phone verification.

Application SMS is optional and requires a separate unchecked consent choice; it is not required to apply and is separate from acceptance of these terms. Message frequency varies with application and hiring activity. Message and data rates may apply. Reply STOP to opt out or HELP for help. A later START message does not silently restore consent; a fresh opt-in is required. Delivery may be unavailable while SMS is disabled.

We do not sell SMS consent or phone numbers, and do not share SMS opt-in data with third parties for their own marketing. If messaging is enabled, a messaging provider may process the phone number, message content, and delivery metadata solely to verify a number or deliver and report the requested service message.

Service providers and disclosure

Shortlist uses the external Supabase project configured by Reckn for authentication, database, and private résumé storage. When an integration is enabled, the relevant provider may process only the data needed for that feature. Twilio, Retell, Google Calendar, OpenAI, and Stripe features are not all active; integration settings and availability control what can be used.

We do not authorize providers to use applicant SMS opt-in information for their own marketing. We disclose information when necessary to provide the requested service, comply with law, protect rights and safety, or operate a business transfer, subject to applicable law.

Retention and security

We retain application and account information for as long as needed to provide Shortlist, support the restaurant’s hiring records, meet legal obligations, resolve disputes, and enforce our agreements. A fixed retention schedule and self-service deletion process have not yet been published; this is a launch item to complete.

We use access controls, private résumé storage, tenant-scoped authorization, and security measures appropriate to the service. No internet service can promise absolute security. Do not submit information that is not needed for an application.

Your choices and requests

You can leave optional talent-network and SMS consent unchecked. SMS recipients can reply STOP; applicants may revoke recommendation or other recorded consent using the provided consent controls. Managers can use account settings or their organization’s support channel. You may request access, correction, or deletion through the support channel that provided access to Shortlist.

For privacy requests about Shortlist, a product operated by Reckn LLC, use the Contact Us form. Identify the account or application involved so we can route the request. Confirm with counsel whether applicable requirements call for an additional public email or mailing address.

Changes and legal notice

We may update this notice when Shortlist’s practices change. We will update the date above and provide notice where required. This draft is operational product information, not legal advice or a statement that counsel has reviewed it.
